Refund & Cancellation Policy

Soundscape Diagnostic Imaging is committed to providing reliable, high‑quality imaging services. This Refund & Cancellation Policy explains how cancellations, rescheduling, and refunds are handled for all appointments, including diagnostic and elective ultrasound sessions.

Appointment Cancellations

We understand that plans change. To respect the time of our staff and other clients:

Cancellations made 24 hours or more before your appointment
• No cancellation fee will be charged.

Cancellations made less than 24 hours before your appointment
• A late cancellation fee may apply, up to the full service amount depending on the appointment type.

No‑show appointments
• Are charged 100% of the service fee, as the time was reserved exclusively for you.

Rescheduling

You may reschedule your appointment:

More than 24 hours in advance
• No fee.

Less than 24 hours in advance
• A rescheduling fee may apply.

We will always do our best to accommodate your preferred new time.

Refunds

Refunds are issued under the following circumstances:

• If Soundscape Diagnostic Imaging must cancel your appointment
• If a duplicate payment was made in error
• If a service cannot be completed due to equipment or technical issues

Refunds are not issued for:

• Completed imaging services
• No‑show appointments
• Late cancellations
• Dissatisfaction with elective keepsake imaging (including gender determination or image clarity)

Refunds are processed to the original payment method within 5–10 business days.

Mobile / Home Visit Appointments

For mobile ultrasound services:

• Cancellations within 48 hours of the appointment may incur a travel fee
• If the client is not present at the scheduled time, the full-service fee applies

Weather, Emergencies & Unforeseen Events

If severe weather or emergencies prevent service delivery, we will reschedule your appointment at no cost.
